Do you need to apostille your diploma?

This article provides instructions on how to apostille your diploma.  Please note that the process is the same whether you have a diploma or degree.

Have you graduated from a University or College in the U.S.?  Are you planning to continue your education in a foreign country?   Have you been offered a new job in a foriegn country?

Note: Most countries will ask for you to apostille your highest diploma.  For example, if you have a bachelor’s diploma and master’s degree, your master’s degree should be apostilled.  Please, double check with your contact in the foreign country before you begin the process of notarizing your diploma(s).  Some countries may ask you to apostille all of your diplomas.

Step #1: The first step is to contact the School’s Registrar and inform the Registrar that you will need the original or a color copy of your diploma to be signed and notarized. The Registrar with either ask for you to mail-in the original diploma or email a color copy. Some schools may request that you purchase a new diploma which can cause delays. If the school does not have a notary on staff, a traveling notary can visit the school and meet with the Registrar.  You can search online and arrange for a traveling notary service.  Most notaries are unfamiliar with obtaining an apostille on a diploma so it’s best to leave the apostille services to us.  The notary must follow the proper notarial laws of their State.

Typically, a diploma can be notarized in several ways:

  1. The Registrar attests to the diploma with a written or typed statement and the notary witnesses the signature of the Registrar.  For example: “I, Jane Doe, Registrar of ACME University, certify that this is a true and original copy of John Walters Master’s degree”.  In most cases, the notarization is performed on the back of the diploma to allow space for the statement, Registrar’s signature, and the notarization.
  2. The second and less frequent option is for the school to draft a signed and notarized University letterhead with a statement attesting to the validity of the diploma.  The signature of the Registrar and the notary’s seal, signature, and notarial wording must be present.

Please be sure to contact our office as some countries will request the original diploma to be notarized instead of a color copy.  For example, Qatar will request for your original diploma to be signed and notarized by the Registrar.

Step #2: The second step is to mail in your notarized diploma with our completed order forms to our office.  We have created an order form and credit card authorization form for every US State.  You can find and download our order forms here: Order forms

In addition to an apostille on a diploma, you will most likely need to obtain an FBI Criminal Background Check Apostille and Transcripts apostille.  If you have not received your diploma yet, the apostille on the transcripts should be sufficient.  To prove you are enrolled in the school, be sure to obtain a notarized enrollment verification letter printed on letterhead and signed and notarized by the Registrar.
